Terms & Conditions
RESERVATION
i) Following initial discussions, a Provisional Reservation (if requested) can be held on the Calendar for 3 days in the first instance. There is no payment due or payable for a Provisional Reservation. If no further approach is received from the Client regarding the Provisional Reservation, it shall be assumed that the Client does not wish to pursue with the Provisional Reservation, at which point the Provisional Reservation will be removed from the Calendar
ii) In the event of the Client wishing to proceed from a Provisional Reservation to a Provisional Booking. A Contract will be issued with details of the Provisional Booking.
ii) In the event of the Contract not being signed and returned, together with the required Non Refundable Deposit, within the specified period mentioned in the Contract, Krystel Banqueting reserves the right to release the Provisional Booking from the Calendar, without notification to the Client.
BOOKING CONFIRMATION
i) A Confirmed Booking will be based on receipt of the signed Contract, together with the required Non-Refundable Deposit (cleared funds).
ii) Under no circumstances will the Non-Refundable Deposit be returned to the Client once the Booking has been confirmed.
ROOM HIRE
i) On receipt of the full payment from the Client to Krystel as per the Contract (or any Amended Contract or additional items requested after signing of the Contract), the Client is entitled to the use of the Banqueting Suite(s) as specified in the Contract (or Amended Contract).
ROOM LAYOUT
i) Krystel Banqueting will position the Tables as per the pre- agreed Room Layout and hand over the Room to the Client/Third party acting on behalf of the Client at the agreed time. After the handover of the Room Layout, the Client/ Third party acting on behalf of the Client wish’s to change the Room Layout at any time, Krystel Banqueting will accept no responsibility for any subsequent loss or damage arising from such action.
ii) THE CLIENT MUST ENSURE THAT AT NO TIMES THE CAPACITY LEVELS ARE EXCEEDED, AS STATED IN THE CONTRACT AND THE ROOM LAYOUT PLAN.
iii) On handover of the Room by Krystel to the Client the chairs will be stacked by Krystel beside each table, quantity as per the agreed Room Layout. It is the Client’s responsibility to ensure that the chairs are positioned around the tables.
iv) It is the responsibility of the Client to employ qualified staff for the following:- a) Laying the table cloths; b) Placing on the tables all crockery, cutlery, glasses, etc. which may be required for the Function. c) Placing the chairs around the tables. d) To supply , prepare, cook and service of food and beverages e) Manage all aspects of the Function vi) Krystel Banqueting reserves the right to place on each table a plaque containing the following words: “Catering Policy: Please note that the catering and beverages served for this function have been organised by your host. Krystel Banqueting have no involvement with the preparation, cooking or service of the food. We hope you enjoy the Function.”
TERMS & CONDITIONS WHICH APPLY TO ALL CONFIRMED BOOKINGS
Cancellation
Should unforeseen circumstances result in the cancellation of a reservation, all advanced payments are non-refundable.
Any postponement of a confirmed and contracted booking will be considered as a cancellation and subject to the charges above.
Krystel Banqueting reserves the right to cancel a booking due to circumstances beyond its control. In such circumstances Krystel Banqueting accepts no liability but every effort will be made to relocate the event.
Numbers
To enable us to plan, it would be necessary to have an accurate guide to the number of guests whom you anticipate attending your function two weeks prior to the date in question. Please note that in the event of numbers being increased on the day of the party, or if numbers are less than expected, the highest figure will be charged for.
Deposits & Account Settlement
To secure a date, a £1000.00 advanced payment is required at the time of booking.
The remaining balance to be paid:
1 Calender month before the Function
Account Settlements for co-operate clients are due within 1 calendar month of receipt of the invoice
A breakages/damage deposit at the management’s discretion is required.
Damage to Banqueting Property
Nothing to be affixed to the walls, ceilings, floors or pillars by the use of nails, screws, drawing pins, tape or by any other means, without the prior approval from the Banqueting Manager. Any damages caused to its furnishings and fittings by your guests will be your responsibility.
Wedding Insurance
We strongly recommend to all clients the arrangement of insurance cover. This can often be done for a very small premium and can cover cost of cancellation and public liabilities.
Fire Safety
The Partners encourage all users of the Hall to carry out their own Fire Risk Assessment, highlighting the areas that pertain to their own group of users and their activities.
THE HIRER IS DEEMED THE “RESPONSIBLE PERSON” AND IS DESIGNATED AS THE PERSON IN CHARGE OF THE HALL DURING THE HIRE PERIOD. It is advisable to take a note of the name of everyone attending your event (see Roll Call on page 5 of the fire risk assesment). The Partners encourage Hirers to make themselves aware of the exit routes, the firefighting equipment and the plan of the Hall detailing the location of the equipment, the escape routes. The plan is available to all Hall users and is also displayed on the wall by the main stair case. They should also identify the assembly point.
The correspondence between Krystel Banqueting and the client shall (including invoice) be taken as confirmation of the client’s agreement and with the acceptance of the foregoing terms and conditions. An exchange of deposit constitutes a contract.
